Lead Times

We want to be sure to provide you with the highest quality we can for your requested project. A great way for us to provide you with high quality items is if requests are submitted with an appropriate expected turnaround time.

While our hope is that you can strive to submit requests with the below lead times in mind, we certainly understand that life happens sometimes and doesn’t allow for the normal lead time when requesting. These are ultimately guidelines to help ensure that the Communications Department can spend an appropriate amount of time on your project and provide you with a high quality finished product.

We want the following to serve as a guide to remember when planning to submit requests:

Digital Graphics // 1.5 Week Lead Time
When requesting digital graphics (PSA, Lower Third, etc.), please allow for a 1.5-week turnaround to complete the project. That means you can expect to have the completed project no later than 1.5 weeks from the request date. We cannot ensure the completion of a project if the turnaround time is less than 1.5 weeks.
Printed Graphics // 3 Week Lead Time
When requesting printed graphics (Invitations, Handouts, Flyers, Signs, etc.), please allow for a 3-week turnaround to complete the project. That means you can expect to have the completed project no later than 3 weeks from the request date. We cannot ensure the completion of a project if the turnaround time is less than 2 weeks.

*Printed projects could require graphic creation and coordination with a print house for delivery of final products, so keep in mind that lead times can vary.

Web & Social Requests // Determined When Requested
Any website and social media requests will be served on a case-by-case basis. Any website and/or social media updates or requests must be submitted through the Communications Department.
Photo & Video Requests // Requires Scheduled Meeting
Please schedule a meeting with the Communications Department (primarily Matt Armon) via the communication request form. In general, lead times could range 2-6 weeks.

The following is an outline of how the Communications Department

will handle larger or bigger picture projects

CROSS CAMPUS PROJECTS

This will serve as a guide for projects that pertain to/effect all campuses, or in other words: projects that are “Grace” specific not campus specific. These projects will be accomplished with the understanding that we are one church that meets in 3 locations.

BROADCASTED SERMON SERIES OR STANDALONE MESSAGES

Concepts are developed by the Communications Department.
Communications Director approves a concept.

Communications Department creates the graphic package (Title, Notes, Lower Thirds, etc.)

Communications Department and Latham Production test graphic package 2 Wednesdays prior to a series/message start date.

Communications Department makes any necessary revisions/updates to the graphic package.

Communications Department & Latham Production do a final walkthrough of the graphic package the Thursday before a series/standalone start date.
Communications Department updates Rt. 2 sign with title graphic.

CAMPUS SPECIFIC SERMON SERIES/STANDALONE MESSAGES

Process is for Halfmoon & Saratoga, Latham would follow the above guidelines
Concepts are developed by the Communications Department.
Communications Director and Campus Pastor approve a concept.

Communications Department creates and provides Campus with the deliverables (Final Title Graphic, Blank Notes Slide, other deliverables if needed)

HOLIDAY (CHRISTMAS & EASTER) PROMOTIONAL ITEMS & GRAPHICS

Concepts are developed by the Communications Department.

Communications Department will work with Campus staff (office admins primarily) to discuss campus specific information (childcare differences, food & beverage, location of services, etc). This will be done with an understanding that the goal is to develop designs that will be consistent across campuses. We will seek not to create different graphics for different campuses.

Communications Department will develop a Holiday package that includes:
– Post card {one size for all campuses}
– Service Times PSA (All Campuses)
– Service Times LT (Latham)
– Service Time Social Graphics
-Instagram/Facebook Post Size (4×5)
-Instagram/Facebook Story Size (16×9)
– Merry Christmas PSA (All Campuses)
– Merry Christmas LT (Latham)
– Happy Easter PSA (All Campuses)
– Welcome to Grace PSA (HFM)
– Join us next weekend PSA (HFM)
– Kidventure PSA (HFM)
– GFYouth PSA (HFM)
– (Year Depending) Informational PSA Graphics about canceled services, change in service times or number of services. 2022 for example we held no services on Christmas day and only one service on New Years Day.

Social media graphics will be created and avaiable for congregants to download to invite people to services via their personal accounts.
